Springtown AI Automation: An Inquiry Workflow Scenario

3 min read

Illustrative case study: this proposed workflow describes a hypothetical business. It is not a report of work performed for a Sparkon customer. Volumes, handling times and costs below are assumptions to test in a pilot, not guaranteed results.

A Springtown service business receives inquiries through its website and email. Staff copy the details into a tracker, find a relevant service description, write a response and decide who should follow up. Practical AI integration could take some of that preparation off their plate while a person keeps control of the response.

The proposed workflow

An approved integration would collect a new inquiry and pass only the necessary fields to an AI model. The model would propose a short summary, a service category, missing information and a draft reply based on approved business material. Application code would check those fields and add a record to a restricted tracker.

A person would review the draft, confirm the facts and choose whether to send it. Unclear requests would be flagged for manual handling. The workflow would keep the source inquiry and processing status so staff can identify duplicates or failures and complete the task manually when needed.

This could use an OpenAI API model or Claude API model. A workflow inside ChatGPT or Claude's own interface is another design option, but its available integrations and permissions need to be checked separately. An API build does not automatically become a feature inside a chat subscription.

The modeled saving

Assume 120 inquiries per month and 12 minutes of staff handling per inquiry today. That is 24 hours of monthly work. The pilot target is four minutes per inquiry, including checking the record, editing the draft and dealing with exceptions. At that target, handling takes eight hours per month.

The difference is 16 hours. At an assumed loaded labor cost of $45 an hour, recovered capacity is valued at $720 monthly. This is an estimate of staff time, not measured client savings and not a promise of additional sales.

Use a hypothetical $100 monthly allowance for all incremental API usage, hosting and routine maintenance to evaluate the economics. That leaves $620 of monthly capacity value before any setup fee, if the targets hold. Actual usage and support costs must be measured; the $100 figure is a planning allowance, not a vendor price or Sparkon quote.

Why the workflow is technically possible

OpenAI documents function calling so an application can connect a model to its own tools. Anthropic documents a comparable tool-use pattern for Claude. Microsoft Graph documents creating records in SharePoint lists. Together, these capabilities support a design in which application code receives model-proposed fields and writes an approved tracker record.

They do not provide this exact business workflow out of the box, certify its security, or prove the four-minute target. The integration, permissions, validation and exception handling still need to be built and tested.

Keep the important decisions with people

The initial workflow would prepare a reply without promising a price, contract term or delivery date. It would use approved reference material and flag information that is absent. Access would be limited to the records needed for the job, and the customer would approve which information can be processed by the chosen service.

An inquiry that contains unexpected instructions should be treated as customer input, not authority to change the workflow. Sending messages, changing account permissions or deleting data would require the separately agreed controls for those actions.

A pilot with a clear decision point

Begin with a representative sample of past inquiries, including incomplete and unusual ones. Check whether the extracted fields match the original, whether the draft introduces unsupported claims, and whether the system creates duplicate records. Measure all human correction time.

Then run a limited live pilot with human approval and a usage cap. Compare the average handling time, rework and monthly cost against the existing process. If the tool saves two minutes rather than eight, the model drops to four recovered hours monthly. Publish the observed result only after the measurement supports it.
